Job Description:
Function & Scope: Reporting to the Award Establishment Supervisor, this position is responsible for the administrative and analytical support of sponsored program awards for assigned centralized campus locations. Responsibilities include establishing and maintaining awards, ensuring proper coding is entered into the RF's Business System, monitoring activities, and assisting the Contract & Grant Specialists in the processing of award contracts, including proper categorization, reporting, and billing requirements. The Grant Coordinator will resolve issues regarding award setup, aid campuses on the status of sponsored program activity, provide guidance to campuses on allowable revisions to awards. This position involves extensive contact with campus staff and central office sponsored program team members. The incumbent must: 1) interpret and adhere to sponsored guidelines; 2) work comfortably under deadlines; 3) possess excellent written and oral communication skills; 4) be well organized with an attention to detail; and 5) provide excellent customer service to various stakeholders along the sponsored programs lifecycle.
Duties & Responsibilities:
- Responsible for the accurate and timely establishment and award maintenance of all awards for assigned centralized locations. Review and analyze contracts, and budgets, obtain information, and input grant/contract award data, including billing and reporting requirements, using the Oracle Grants Management module. Produce and review Account Information Abstracts and release to campus.
- Review sponsored program awards/contracts guidelines to determine if cost share award is appropriate, contact campus for relevant budget information and establish appropriate award.
- Review and verify budget information including appropriate facilities and administrative rate for awards/contracts received, including but not limited to working with the campus on finalizing appropriate budget data for award input based upon sponsor restrictions.
- Perform an independent preliminary review of complex contractual documents noting deficiencies and/or other unusual items for the Contracts & Grants Administrator prior to execution, including submission of insurance certificates, where appropriate. Responsible for tracking such contractual documents for receipt of fully executed copies.
- Review and analyze agreements to provide initial determination for revenue recognition coding of awards.
- Communicate effectively and professionally with campuses, sponsors, and internal colleagues.
- Review, process, and ensure date-sensitive payroll requests are completed timely.
- Monitor and take necessary action on follow up of contracts/awards using a variety of platforms, including but not limited to working with the Contract & Grant Specialist, campuses and sponsors.
- Responsibility includes calling sponsors, notifying the campus of the outcome, and working with the campus and/or sponsor to receive fully executed documents.
- Utilize the Pre-Award and Compliance System (PACS) as part of the award establishment and contract review workflow.
- Work with campuses, sponsors, and internal colleagues to gather information and/or discuss and resolve issues and inquiries.
- Participate in training of new hires in various stages of contract work and Oracle System Work.
- Process queries for identification of mail and checks, as needed.
- Working with new campus staff on procedures and participating in training sessions.
- Other duties and special assignments as assigned by the Award Establishment Supervisor.

Education & Experience:
- Bachelor's degree or five (5) years of experience in office procedures, financial or accounting-related work, analytical and communication skills. Or an equivalent combination of education and experience. Must be able to select and use various computer software applications and be able to work independently.
- Experience working with Oracle databases and government regulations is helpful. College-level training in appropriate coursework may be substituted for experience. Associate degree in finance or accounting preferred.
Compensation for this position: The compensation for this role is between $58,656- to $66,913. The pay will depend on a variety of factors that may include but are not limited to experience, education, training, and certifications.
