Job Summary:

The University of Colorado Anschutz Medical Campus, Department of Pathology is seeking applications for a Research Services Senior Professional. This full-time, University Staff (non-classified) position will be responsible for managing program administration, logistical support, and financial management of grants and contracts for the Director of Finance and Administration, Vice Chair of Research and designees. It will include fiscal and administrative responsibilities for the effective operation of the grant management process, both pre-award and post-award. This will also include special projects and programs for Director of Finance and Administration, Vice-Chair of Research and Principal Investigators (PI).

This position will interact with Department Administration, faculty, sponsors, PRA's and on a regular basis. Effective, pro-active communication will be necessary across departmental and central administration lines. Excellent business conduct and presentation required, as well as ability to maintain effective lines of communication. Ability to work collaboratively with a wide range of faculty and staff, and receive mentoring from multiple levels of administration. Self-motivated to complete tasks and work ahead on projects, even in the absence of supervisors

This position will assist the Director of Finance and Administration with monitoring the integrity of Grant and Contract management accounting process in order to ensure that financial processes are maintained in an accurate and timely manner. Serves a as resource to faculty, and staff within the Department of Pathology to keep them informed of financial and administrative matters, and maintain proper compliance. This position is also responsible for the recording, analyzing and maintaining of paper and electronic financial records.

Key Responsibilities:

PRE-AWARD DUTIES 25%
  • Assist with budget preparation and review prior to submission
  • Manage and assists with grant application submission (paper and electronic)
  • Work with Contracts and Grants Administration to facilitate all sub-contracts
  • Assist with routing of grants and contracts for signatures
  • Interact with PI's on the preparation of both sponsor and institutional forms to ensure all submission deadlines are met
  • Maintain current files on all grant applications and approvals
  • Facilitate COMIRB and IAACC requirements with PI oversight

POSTAWARD DUTIES 65%
  • Program management and development
  • Prepare and submit journal entries (JE) and payroll expense transfers (PET)
  • Submit and approve Grant salary funding as indicted by award budget.
  • Maintain files on all awarded/funded contracts and grants
  • Track monthly expenses and other accounting activity including salary distribution and percent effort
  • Report to PI's on status of grants on a monthly basis
  • Create customized monthly reports that concisely itemize, interpret and compare expenditures relative to budget, balances and encumbrances on a monthly basis.
  • Research and reconcile discrepancies
  • Prepare journal correction entries, as needed
  • Communicate with PI on any and all issues regarding grants and contracts administration.
  • Review funding allocations on a monthly basis with PI and address budgetary issues and changes as needed
  • Develop and maintain comprehensive calendar that includes all grant start, end and renewal dates, as well as all report submission deadlines.
  • Assist with completion and timely submission of EPER forms
  • Assist in preparation and submission of progress reports to funding agencies
  • Logistics and ordering for designated grants/laboratories

GENERAL ADMINISTRATION DUTIES 10%
  • Preparation of forms, correspondence and other materials on behalf of Vice Chair and designated PIs
  • Maintain knowledge of UC SOM, UC OGC, and funding agency policies
  • Assist DFA and on administrative issues as they arise, and document trends for strategic planning
  • Conference and meeting planning

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus

Qualifications:

Minimum Qualifications:
  • A bachelor's degree in public health, public administration, social/behavioral sciences, physical sciences, nursing, healthcare, finance, accounting, business administration, business, or a directly related field from an accredited institution
  • 2 years of professional level experience

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Master's degree from an accredited college or university in a related field.
  • Experience working with University of Colorado Systems (ex. PeopleSoft HCM and FIS, Concur, etc.).
  • Experience with fund accounting.
  • Higher education accounting experience.
  • Experience with contract and grant administration.
  • Experience working with clinical data.

The starting salary range (or hiring range) for this position has been established as: $56,554-$71,936
