Grants Administrator- Khoury College of Computer Sciences

About the Opportunity

The Grants Administrator is a key member of the Khoury Research Administration team and will provide pre-award support to faculty in the Khoury College of Computer Sciences. The Grants Administrator's primary responsibility will be to advise and assist 70+ faculty with proposal development. The Grants Administrator will collaborate and coordinate with faculty, the Khoury Director of Research Development and the Office of Research Administration and Finance (ORAF) on proposal submissions that meet college, university and sponsor guidelines and deadlines. This process often includes balancing the requirements of several stakeholders (including but not limited to: faculty, Northeastern University/ORAF, other institutions, sponsoring agencies, deans). The Grant Administrator will work with the research administration team in Khoury and ORAF to maintain proposal records and data post-submission. The Grants Administrator must have strong follow through, excellent attention to detail and customer focus in supporting Khoury faculty through the pre-award process.

This is a dynamic role, as there is a high volume of email and daily problem solving. The Grants Administrator must be able to multi-task in a fast-paced environment with competing deadlines. The candidate must also have strong communication skills in partnering with faculty on development as well as keeping their awareness on and adherence to deadlines. The candidate must ensure all proposals are compliant with federal regulations as federal sponsor deadlines are consistent and firm.

The Grants Administrator will also assist the Associate Director pre-award with other tasks, such as responding to post-submission inquiries (Just-in-time) to NIH, NSF, Department of Defense and other federal and non-federal sponsors. This position will also assist faculty in the grant-transfer process. The Grant Administrator will also support the Khoury grants team with data requests and on demand post award requests as needed.

Khoury is at a very exciting point with significant growth in enrollment, staff and faculty as well as a new strategic focus on growing research funding. This position is essential to help support the pre-award team and Khoury faculty in successfully managing their increasing number of research proposals as well as the growing proposal complexity.

Responsibilities:

Proposal Development: Partner closely with Pre-award team, Khoury faculty and Director of Research Development. Prepare proposals for Khoury faculty and ensure thoughtful stewardship of proposal process including review solicitation & sponsor guidelines to ensure compliance, develop budgets, generate administrative components, respond to faculty and ORAF inquiries, and upload documents into sponsor applications. Ensure highest integrity of proposals, and transparency in reporting and proposal development process. Keep management and leadership apprised as needed. Serve as back-up for Grants Manager to submit grant transfers.

Reporting and tracking pre-award materials: Maintain proposal files, generate ePAWS record, update Khoury proposal tracking spreadsheet. Respond to reporting inquiries from ORAF, Deans, other colleges, sponsors, subawardees, deans and faculty regarding pre-award matters.

Attend meetings at Nu-RES, Khoury, and external professional association meetings (NCURA, SRA) to keep abreast of new research administration policies and further professional development and growth.

Qualifications:

Bachelor's degree or equivalent with a minimum of 2-4 years of experience in grant administration with pre-award experience required. Demonstrated ability to manage and prioritize multiple projects in a high volume, deadline driven environment. Strong interpersonal/communication skills (verbal and written) needed. Knowledge of Fastlane, NIH ASSIST, eRA Commons, Workspace, research.gov, and grants.gov very strongly preferred. Must have working knowledge of the federal circulars, uniform guidance 2 CFR 200, NSF PPAGP, NIH grant proposal guidelines. Must be able to handle complex and confidential email with discretion. Must be comfortable with complex budget spreadsheets (in excel and other formats). Should be able to adapt to changing proposal submission portals internally and externally.
